APS4 Administration Support Officer

Location: Canberra, ACT
Employment Type: 12 Month Non-Ongoing Opportunity with Potential Extension and Ongoing Prospects
Security Clearance: Minimum NV1 REQUIRED

An exciting opportunity exists for an experienced and highly organised Administration Support Officer to join a dynamic team delivering critical business and corporate support services within a complex government environment.

This role provides essential administrative, procurement, contract management and financial support to a busy operational section responsible for supporting enterprise-wide business systems and services. Working closely with senior leaders, stakeholders and service providers, you will play an important role in ensuring the smooth delivery of business operations and administrative functions.

The position offers a varied workload and would suit an individual with strong organisational skills, exceptional attention to detail and the ability to build productive working relationships across a broad stakeholder network.

Key Responsibilities

Administration Support

  • Provide high quality administrative support to Directors, Assistant Directors and operational teams.

  • Manage correspondence, documentation, records and information management activities.

  • Coordinate meetings, calendars, actions and business support requirements.

  • Maintain accurate records and ensure compliance with documentation standards.

Procurement and Contract Support

  • Assist with procurement activities and purchasing processes.

  • Support contract administration activities, including documentation, tracking and reporting.

  • Liaise with internal stakeholders and external suppliers regarding procurement and contract matters.

  • Ensure procurement and contract records are maintained accurately and in accordance with organisational requirements.

Financial Administration

  • Assist with financial administration activities including invoice processing, reconciliations and expenditure tracking.

  • Support budgeting and financial reporting activities as required.

  • Maintain accurate financial records and documentation.

Stakeholder Engagement

  • Build and maintain effective working relationships with internal and external stakeholders.

  • Provide responsive and professional customer service.

  • Support collaboration across multiple business areas and operational teams.

Operational Support

  • Assist with operational business activities as required.

  • Provide ad hoc support for printing and publishing services when required.

  • Contribute to process improvements and administrative efficiencies.

Skills and Experience

To be successful in this role, you will demonstrate:

  • Previous experience in administration, business support, procurement support, finance administration or contract administration.

  • Strong organisational and time management skills with the ability to manage competing priorities.

  • Excellent written and verbal communication skills.

  • High attention to detail and accuracy.

  • Strong stakeholder engagement and relationship management skills.

  • Ability to work independently while also contributing effectively within a team environment.

  • Sound judgement and the ability to escalate issues appropriately.

  • A positive attitude, adaptability and willingness to learn.

Desirable Experience

The following will be highly regarded:

  • Experience working within a government environment.

  • Exposure to procurement, finance or contract management processes.

  • Experience using records management systems.

  • Familiarity with Adobe Pro Suite or the ability to quickly learn new systems and technologies.

  • Experience supporting operational or service delivery teams.

Security Requirements

Applicants must be Australian Citizens and hold a minimum NV1 Security Clearance.
