Project Support Officer
We are seeking an experienced APS 5 and APS Project support Officer's
to support the delivery of ICT programs and projects within a central Investment and Portfolio Management Office (PMO) operating in a complex government environment.
Working under limited direction and reporting to APS 6 and EL1 staff, the role supports project and program coordination activities across a range of initiatives varying in size and complexity. The position contributes to portfolio reporting, assurance, compliance, and business operations, ensuring projects align with the Project Management Framework (PMF) and established governance processes.
The role involves undertaking research and analysis, contributing to reports and briefs, managing project data and databases, supporting risk and financial management activities, and assisting with contract and procurement processes. You will coordinate inputs to briefs, draft briefing material for senior staff, manage invoices and expenditure, reconcile payments, and assist with project scheduling, milestones, and delivery activities.
You will also support stakeholder engagement across internal and external networks, contribute to training activities, assist with audits and risk management processes, and help uplift PMO practices through quality assurance, documentation, and continuous improvement initiatives. The role requires sound judgement, the ability to manage competing priorities, and the capacity to work independently within defined policy and legislative frameworks.
APS 5 – IPN Administrator / Project Support Officer
Role purpose
At the APS 5 level, you will support the Project or Program Coordinator in the day-to-day management of projects of varying size and complexity. Working under limited direction, you will provide reliable project, administrative and analytical support, manage your own workflow, and contribute to quality project outcomes across the portfolio.
Key duties – APS 5

Undertake research and analysis, contributing to reports on project activities, milestones and performance

Assist with project coordination activities, including scheduling, tracking actions and maintaining registers

Support contract management activities, including drafting scopes, supporting procurement processes and monitoring contractor performance

Maintain project databases and undertake data quality assurance
-
Process and analyse data, presenting information in formats suitable for reporting and decision-making
-
Assist with project and program risk assessment and risk management activities

Manage expenditure tracking, analyse financial information and support financial reporting
-
Approve or certify payments and reconcile invoices in line with delegations

Draft briefs, briefing notes and papers for higher classification levels

Coordinate the allocation and submission of briefs and other governance documentation

Support the delivery of training activities and continuous improvement initiatives

Provide support to internal and external stakeholders and contribute to effective working relationships
What we’re looking for – APS 5

Demonstrated experience providing project, program or administrative support in a complex environment

Sound analytical and research skills, with the ability to work with data and financial information

Ability to work independently under limited direction and manage competing priorities

Well-developed stakeholder engagement and communication skills

Knowledge of, or ability to quickly learn, relevant policy, legislative and governance frameworks

Experience contributing to risk management, quality assurance and continuous improvement activities
What we’re looking for – APS 6

Demonstrated experience coordinating programs or complex projects, preferably in an ICT or PMO environment

Strong understanding of project management frameworks, governance and assurance practices

Proven ability to provide high quality advice on complex issues and anticipate risks

Experience in performance reporting, analysis and executive-level briefings

Ability to work with a high degree of autonomy while operating within established frameworks

Strong stakeholder management skills, including working in representational roles
