About the Role
The core purpose of the role is to ensure that managers, supervisors, and work teams are fully supported in their day to day correctional administration duties. By handling routine tasks such as data entry, records management, correspondence, and phone enquiries, the Administrative Support Officer frees up other staff to focus on their direct operational responsibilities. Approximately 90 percent of the role is general administration, with the remaining 10 percent focused on archiving and records management. The role acts as a reliable point of contact for factual information, ensuring that records are accurate and accessible, and that enquiries are either resolved or escalated appropriately. Ultimately, this position helps maintain the integrity and efficiency of correctional administration within the Government Agency.
Key Responsibilities
- Support and assist executives or operate within a work team undertaking administrative tasks in accordance with standardised processes and practices under direction.
- Extract and disseminate manual and electronic information and undertake factual data entry using a variety of databases to ensure records are maintained accurately and stored correctly for accessibility.
- Respond to telephone and counter enquiries from clients, provide timely factual information, update official records as required, or escalate inquiries to relevant staff as necessary.
- Generate routine correspondence based on standard templates and exchange factual information with clients, customers and peers using technology, while exercising discretion and judgement at all times.
- Undertake a variety of tasks in relation to copy production, dispatch, data entry, records management and related administrative duties.
- Maintain filing systems both electronic and physical in line with Government Agency policies and legal requirements using the Electronic Document and Records Management System (EDRMS).
- Liaise with internal staff and external agencies in a professional and respectful manner, recognising the sensitive nature of correctional administration work.
- Identify when a matter is beyond the scope of the role and escalate it promptly to a supervisor or relevant specialist staff.
- Contribute to a positive team culture by sharing administrative workload and supporting colleagues during peak periods.
Essential Requirements
- Demonstrated experience in an administrative support role including data entry, records management, and general office duties.
- Experience using an Electronic Document and Records Management System (EDRMS).
- Proficiency in Microsoft Office applications including Word, Outlook, and Excel.
- Strong attention to detail with the ability to update records accurately and spot errors in manual or electronic information.
- Effective verbal communication skills to handle telephone and counter enquiries in a clear, factual, and professional manner.
- Demonstrated discretion and judgement when handling sensitive or confidential information.
Desirable Requirements
- Formal qualifications in business administration, records management, or a related field.
- Experience handling enquiries from legal representatives, police, or family members of offenders.
- A current NSW driver licence and access to reliable transport.
- Ability to remain calm and professional when handling enquiries that may involve distressed or challenging clients.
