About the Role
This is an exciting opportunity for a skilled and proactive Executive Assistant to provide high-level executive and administrative support.
You’ll play a key role in ensuring the smooth operation of a dynamic and fast-paced office environment—balancing competing priorities, managing workflows, and supporting effective decision-making across the leadership team.
The role requires a professional who is highly organised, discreet, and confident in engaging with senior leaders and stakeholders across the department.
Key Responsibilities

Provide confidential executive and administrative support to the Executive Director and leadership team.

Manage the Executive Director’s calendar, appointments, and meetings, including preparation of materials, catering, and minutes.

Coordinate travel, accommodation, and business arrangements as required.

Maintain records and correspondence using internal systems , ensuring accuracy, tracking, and timely responses.

Support the Executive Officer in maintaining business reporting, HR, and financial information.

Assist with purchasing, invoice processing, and travel claim reconciliations.

Contribute to project work, event coordination, and process improvement initiatives.

Build strong working relationships across the division and ensure a positive, respectful workplace culture.
About You
You are an experienced and adaptable administrative professional who thrives in a fast-moving environment and enjoys supporting senior leaders. You take initiative, communicate clearly, and are comfortable handling confidential information with discretion and professionalism.
You’ll also bring:

Proven experience in an executive or senior administrative support role.

Strong organisational and time management skills with the ability to balance competing priorities.

Excellent written and verbal communication skills.

Confidence using Microsoft Office, Teams, SharePoint, and document management systems.

A proactive and collaborative approach to building relationships and supporting team goals.
