PROJECT ADMINISTRATOR | MELBOURNE CBD
Join a purpose driven financial services organisation where your project coordination expertise will support the delivery of key investment and technology initiatives. This Project Administrator role sits within the IDS Delivery function and plays a key role in supporting governance, reporting, and delivery across a portfolio of work.
You will work closely with Project Managers and delivery teams to ensure projects are well governed, accurately reported, and progressing to plan.
KEY RESPONSIBILITIES
- Support project and program reporting, including risks, issues, decisions, actions, and financial tracking
- Maintain project and program registers and assist with investment related reporting where required
- Coordinate project schedules, dependencies, critical paths, and quarterly planning activities
- Prepare and manage meetings, workshops, forums, and stakeholder sessions, including minutes and actions
- Maintain project documentation, repositories, SharePoint and Confluence spaces, and delivery tools such as Jira and Miro
- Support governance activities, assurance processes, audits, and evidence gathering
- Assist with onboarding, induction packs, leave calendars, and broader PMO administration
- Contribute to continuous improvement of project management standards and delivery ways of working
IDEAL CANDIDATE
- 5+ years experience in a project or PMO support role
- Strong understanding of project delivery practices across Waterfall, Agile, and Lean environments
- Proven experience supporting financial or investment focused programs
- Financial services or superannuation experience is highly desirable, specifically within investment environments
- Confident working with Jira, Confluence, Miro, SharePoint, Microsoft Office, and Excel
- Highly organised with strong attention to detail and stakeholder engagement skills
- Comfortable supporting multiple initiatives within complex and evolving environments
