Job description
Our client is currently looking for a Project Coordinator to join them on a contract through to December 2025 + 12 month extension on offer. The successful candidate will be part of the Forestry Sales Management Information System (FSMIS) Modernisation Project Team.
- The Project Coordinator, will have responsibility for the following:
- Maintain a central register and support the review of key document deliverables to meet obligations of the project with both the Department and the Queensland Government Office of Assurance and Investment.
- Ensure fortnightly internal project status reporting occurs through communications and support to delivery leads.
- Maintaining the Project SharePoint Site with relevant information to keep internal stakeholders informed including governance, team structure, project status, document library, risk, issue and dependency registers etc.
- Ensure Project Risks & Issues Register is maintained and up to date.
- Assistance in developing and maintaining project documents and schedules, coordinating project meetings and workshops, program resource management.
- Organising meetings, preparing meeting presentations, taking minutes and completing regular program status reporting
- Establishing systems and procedures to guide work and track progress and strive for excellence and continually evaluate progress, and effectively overcomes barriers to achieve outcomes.
- Provide advanced support for the team in the use of templates used for consistent presentation of information.
- Establish and maintain a project records system.
- Manage and track the administrative aspects of consultant and contractor engagement.
- Assist the project manager with procurement and financial reporting.
Highly Desirable attributes to this role are:
- Significant Experience as a Project Coordinator (ie, at least 5+ years) will be highly regarded.
- Experience working within Office Administration
- Experience working in a large-scale Project Management Environment on complex projects.
- Experience working in close collaboration with and supporting a range of internal and external stakeholders.
- Experience writing high quality minutes and tracking completion of actions.
- Appropriate qualifications and/or experience in Project Management Methodology (e.g PRINCE2, PMBOK, Agile / SCRUM) (Desirable)
- Must be a self-starter who can manage your own time and work proactively.
- Proficiency in the use of relevant corporate software such as MS products including MS Excel and MS PowerPoint
- Ability to liaise with customers and stakeholders at all levels, both internally and externally
- Excellent written and verbal communication skills
- Strong organisational and time management with attention to detail
- Candidates must be highly skilled in the use of Microsoft Project and proficient with office automation tools such as Windows, Word, Excel, PowerPoint and Microsoft Outlook (e-mail).
