Job description

Our client is currently undergoing a Program of work that has many projects to be delivered over the next four financial years, and an Administration & Program Support Officer is required to support the program in the delivery of the program.

The purpose for this role is to provide high level support to the SfB Program's Program Integration Office (PIO), with a strong focus on administration, coordination, governance, reporting, and senior level secretariat functions in compliance with the department's policies, procedures and Program and Project Management Methodologies.

Role Overview:

This role will report to the SfB Program PIO Manager and will be responsible for supporting key functions of the SfB Program. This includes, but is not limited to, compliance, governance, reporting, team administration, and senior executive level secretariat functions.

Key responsibilities of the role are supporting the Program Integration Office (PIO) Manager and broader program team, including provision of:

  • High level administrative and project support and advice through the utilisation of Council's corporate systems
  • Coordination of meeting materials including maintaining accurate meeting records and registers in line with Councils records management policies and procedures
  • Provide Secretariat function to the Design Authority governance meetings includes notes, actions registers, and action follow up with senior members of the program
  • Project documentation control, including tracking distribution and document approvals
  • Support the PIO Manager and Master Scheduler with Project Online and Jira updates (logs, schedules, reporting)
  • Support the updating of risks and issues registers across the Delivery Stream
  • Monitor and maintain Customer & Digital Delivery Stream distribution lists, Teams, and SharePoint site/s
  • Generate status reports when required
