Primary purpose of the role:


Are you an accomplished Executive Assistant in search of a dynamic and fulfilling opportunity? We are actively seeking a committed and exceptionally organized individual to become part of our team as an Executive Assistant. In this role, you will play a pivotal role in providing essential support to our Executive Director and the wider team.


Roles and Responsibilities:

  • Provide confidential executive support to the Executive Directors including preparation of correspondence, minutes, agendas, reports, presentations and other essential documentation.
  • Utilise and maintain comprehensive systems and procedures, including the utilisation of the records management system, and make recommendations for the improvement of processes to ensure streamlined and effective outcomes.
  • Manage the Executive Directors' time commitments and diary and provide consistent and timely liaison with departmental staff from the Minister's office, the Department, other agencies, and stakeholders to ensure urgent matters are prioritised.
  • Research and support/or coordinate initiatives, projects, training and programs
  • Work closely with the Executive Director in prioritising and filtering information requests, drawing attention to urgent matters which require immediate attention and referring operational matters to other staff as appropriate to enable the most effective use of time available.
  • Source, format, collate all necessary documentation in preparation for meetings, conferences and forums to ensure relevant information is at hand and in an easily accessible format.
  • Undertake a range of administrative tasks including records management, procuring goods and services and reconciliation of accounts to support operational efficiency.
  • Provide sound advice, recommendations and appropriately delegate actions to the Executive Director's senior leadership team and monitor timely and quality closure by using discretion and insight.
  • Provide a range of secretariat and administrative services, including coordinating workshops, stakeholder and committee meetings and preparing papers, to support project management delivery

Skills Required:

  • Significant experience providing executive support services to senior executive within government.
  • Experience dealing with confidential and sensitive issues a senior executive level.
  • High level organisational, administrative and co-ordination skills including the ability to plan and prioritise work with minimal supervision.
  • Computer literacy and extensive experience in the use of a range of computer applications, such as; Microsoft Office, SAP and HP Content Manager/TRIM.
  • Previous experience working within a State Government agency (highly desirable)
  • Previous property and development experience (highly desirable)
